Job description

Job Summary:

To ensure the smooth running of the HR department and manage the end to end process of the entire HR value chain while managing the lifecycle of employees

MAIN ACCOUNTABILITIES:

a) Recruitment

· Monthly present the employee outlook of the organization to Management, identifying current gaps and projected gaps

· Send employee requisition forms for line managers to fill

· Get approval for new hires

· Prepare recruitment documents such as requisition forms, Recruitment Forms, interview evaluation forms, and employment and contract letters for new staff

· Design Job descriptions and KPIs with line managers for the role

· Design and Post job ads to various job boards and social media platforms

· Follow due process to ensure the recruitment of knowledgeable and highly proficient individuals for specific roles

· Schedule and conduct interviews for prospective employees

· Prepare offer letters for new hires

· Implement the induction/Onboarding framework/process with Accelerate Leadership

b) Performance Management

· Prepare and review all performance management tools for all employees quarterly with line managers

· Coordinate feedback sessions monthly/Quarterly for all employees with line managers

· Collate performance reports monthly for all staff and send to management

· Set expectations quarterly for all employees with their line managers

· Communicate appraisal plans to all employees

· Carry out performance appraisal biannually for all employees

· Send feedback to management after each appraisal

· Implement/Review Performance Management System with Accelerate Leadership

c) Learning and Development

· Collate training gaps from all line managers quarterly

· Carry out training needs assessment quarterly with line managers

· Prepare training calendar

· Identify training company, date and cost

· Prepare training Plan

· Communicate to management and get necessary approvals

· Communicate training to participants

· Implement training

· Carry out training evaluation

d) HR Administration

· Regular update and management of staff database, leave schedule, etc. on HRIS

· Ensure due and timely confirmation of staff

· Regulate the activities of security companies

· Liaise with vendors on various operational activities

· Carry out cost reduction initiatives across all units

· Ensure a good digital and e-filing system for all staff documents

· Facilitate Monday Mgt, Quarterly business reviews, TMAP, and other goal-oriented meetings

· Prepare payroll variation monthly

· Loan administration for qualified staff

· Documentation of Company Policies and regulations

· Quarterly review units SOPs

· Plan Pharmacy quarterly review meeting

· Assist the Inventory to plan Quarterly stocktaking activities

· Ensure smooth communication of management decisions to all staff

· Ensure timely responses to employee issues

· Ensure availability of work tools across all units

· Provide weekly and quarterly reports on HR activities

· Handle all HR requisitions to account

· Handle the Staff motivation and welfare, e.g., communicate with birthday celebrants monthly

· Carry out other tasks assigned

· Implement disciplinary actions

· Carry out disciplinary measures

· Carry out conflict resolutions among staff

· Monitor the unit's processes and SOP weekly

e) Employee Engagement

· Carry out employee surveys biannually

· Join MSS to plan the Joint Quarterly and Annual Business Review session

· Plan Quarterly and annual business review sessions for Pharmacy

· Address all employee-related issues promptly

· Ensure efficient coverage for leave administration

· Ensure proper dissemination of information across all platforms

f) Reward and Recognition

· Follow the reward and recognition framework for staff rewards

· Initiate reward via mail to the account

· Incentive administration for qualified staff

g) Some administrative tasks and any other tasks assigned to you.

JOB REQUIREMENT

h) Good knowledge of HR procedures and processes with the ability to juggle various administrative tasks in a timely manner.

i) Proficiency in office suites

j) Excellent oral and written communication skills

k) Business acumen

l) People management skills

m) Organizational and operational skills

n) Good Knowledge of Nigerian Labour Laws

o) Management and Leadership skills

p) Excellent decision-making skills
