    Description

    The Front Desk Officer is the first point of contact for all visitors, parents, and students, and plays a critical role in creating a positive and welcoming atmosphere. This position is responsible for managing the school's main reception area, handling all incoming communications, and providing outstanding administrative support to ensure the smooth day-to-day operation of the school office. The ideal candidate will be a proactive problem-solver with exceptional interpersonal skills.

    Key Responsibilities

    Reception & Hospitality:

    • Greet all visitors, parents, students, and staff with a warm, professional, and courteous demeanor.
    • Manage the main reception area, ensuring it is tidy and presents a positive image of the school.
    • Answer, screen, and forward incoming phone calls promptly and professionally.
    • Provide basic and accurate information in-person and via phone/email.
    • Direct visitors appropriately, ensuring all school security protocols, including sign-in/sign-out procedures and issuance of visitor badges, are strictly followed.

    Administrative Support:

    • Manage daily student attendance procedures, including recording late arrivals, early departures, and absences, and following up with parents as required.
    • Receive and distribute all mail and deliveries.
    • Provide general administrative support to the leadership and teaching staff, including photocopying, filing, data entry, and preparing communications.
    • Assist with the preparation of school newsletters, bulletins, and other parent communications.
    • Maintain inventory of office supplies and place orders when necessary.

    Student & Parent Support:

    • Provide first-line support for student enquiries, assisting with minor issues and directing them to the appropriate personnel.
    • Administer basic first aid (upon certification) and manage student health room visits, contacting parents when necessary.
    • Handle sensitive and confidential information with the utmost integrity.

    Communication & Coordination:

    • Coordinate with the administrative team to ensure smooth operation of all school events.
    • Closely work with the digital team on the school's general email inbox.
    • Use the school's management information system to update old and new student records and information.

    Qualifications & Experience

    • Bachelor's degree in office administration, business, communication, or a related field.
    • Proven experience as a receptionist, front desk representative, or similar role, preferably in a school or educational environment.

    Skills & Competencies

    • Exceptional Communication: Outstanding verbal and written communication skills. A clear and pleasant phone manner is essential.
    • Customer Service Excellence: A strong customer-service orientation with a patient, empathetic, and helpful attitude.
